Pittsford Food Cupboard (PFC), Pittsford, New York
TITLE: Executive Director
PURPOSE: The executive director manages the overall operation of the PFC as well as acting as the PFC representative to the community.
ACCOUNTABILITY: The Executive Director is accountable to the PFC board.
DUTIES AND RESPONSIBILITIES:
Prepares annual operating budget and reconciles that budget on a monthly basis.
Reviews the annual operating budget and YTD actuals with the Board.
Researches, writes and secures grants.
Researches new funding opportunites.
Reconciles bank deposits with the treasurer and client services coordinator.
Reviews insurance requirements annually.
Oversees fundraising and approves fundraisers.
Oversees food procurement.
Documents and communicates monthly client data, issues and concerns to the Board.
Manages PFC facility, office equipment and supplies.
Manages off-hours access to PFC as needed.
Communicates with marketing committee to oversee marketing strategy including digital presence: website, Facebook.
Plans and executes annual volunteer appreciation luncheon
Coordinates PFC participation with Foodlink.
Oversees donor response letters.
Periodically ‘volunteers’ at the PFC to interface with clients and volunteers.
Conducts Annual Performance Review of Client Services Coordinator and reports to Board .
Creates materials for community awareness and education including the Annual Report
Represent the PFC to the public
Speaks publicly at small groups, religious institutions and businesses.
Coordinates PFC participation in community events.
Communicates with other food cupboards to share data, best practices, and resources as appropriate.
This is meant to be a general description of the responsibilities of the Executive Director; it is not an exhaustive list of all required tasks.
Primary working relationship is with the Board and the Client Services Coordinator.
The Client Services Coordinator reports to the Executive Director.

SKILLS AND EXPERIENCE:
Prior management experience strongly preferred: operations, budget development and financial management.
Experience in community relations.
An understanding of fundraising and grant writing processes.
Non-profit or food pantry experience preferred but not required.
Bachelor’s degree or equivalent work experience.
Excellent leadership, interpersonal and communication skills.
Proficient in MS Office Suite. Some knowledge of publishing tools for brochures or annual reports would be preferred.
May be required to assist with food donations: procurement and restocking; involving lifting up to 25lbs.
ANTICIPATED HOURS: 20-25 hrs/week.
Performance reviews will be conducted annually by a PFC Board member who will also annually review the level of compensation and make recommendations as needed to the full Board.
